  Frequently Asked Questions

  Interlibrary Loan

Who may request material?
St. Olaf Faculty, retirees, students, and staff. Others are asked to work through their local public library.

How do I request material?
Log on to ILLiad (http://www.stolaf.edu/library/illiad). Then click on the Photocopy or Loan link and fill out the request form.

What may I request?
Books, journals, articles, scores, government documents, and microforms that are not owned by St. Olaf College Libraries or Carleton College Library. Videos and DVD's may be requested, however, fewer libraries are willing to supply audio visual materials.

How do I check the status of my requests?
Log on to ILLiad (http://www.stolaf.edu/library/illiad). Then click on the View/Modify Outstanding Requests link. You can view a summary of all your requests or click on an individual request to see its details.

How do I view my request history?
Log on to ILLiad (http://www.stolaf.edu/library/illiad). Then click on the View Request History link.

What if the St. Olaf or Carleton item I need is checked out?
You may recall the item by placing a hold. To do this, click on the Request button when viewing the item in Bridge (http://bridge.stolaf.edu). We will not place interlibrary loan requests for materials that St. Olaf or Carleton own because it is usually much faster to recall the item from the patron who owns it.

What types of materials cannot be requested?
1. Any item owned by Carleton or St. Olaf.
2. We are usually not able to fill requests for entire journal volumes. Nearly all libraries will not lend this type of material.

Do I have to pay for Interlibrary Loan?
We are able to request materials free of charge from over 2200 libraries in Minnesota, North and South Dakota, Wisconsin and beyond. This means that in most cases we are able to obtain the material you request with no charge to you.

In some instances, however, we are not able to find a free lender for your material. In this case, we pass on to you any fees that the lending library charges us. However, we will ask if you are willing to assume any fees before we request the item. Fees charged by lending libraries typically fall in the range of $10-20.

How long until the item arrives?
Delivery times vary significantly. Material from within the state often arrives in less than a week; out-of-state material usually takes longer. Delivery times often vary during the semester. A good rule of thumb is to begin your research early!

May I request that material be faxed or rushed?
No.

There is more than one due date on the paperwork that came with my book. Which due date should I go by?

The due date listed on the green St. Olaf College Libraries Interlibrary Loan Material bookmark is the due date for your material. This due date takes into account shipping time to get the material back to the lending library by the due date they have given us. You may also check due dates at any time in ILLiad.

Can I renew interlibrary loan materials?
Yes, this can be done on ILLiad. To renew online, click on View/Renew Checked Out Items. This renewal is subject to approval by the lending library. If the renewal is denied, the interlibrary loan material will need to be returned on its original due date or immediately if overdue. Only one renewal per interlibrary item will be accepted.

  ILLiad

What is ILLiad?
ILLiad (InterLibrary Loan Internet Accessible Database) is the new online system you will use to request and manage your interlibrary loan materials.

What are the advantages of using ILLiad over the old interlibrary loan system?

  1. With ILLiad, you enter your, name, address, and other personal information into the system only once, at the time of your first request. This information is automatically attached to your requests each time you log on to ILLiad.
  2. Each time an Interlibrary Loan staff member makes a change to your request - whether it's sending it to a potential lender or checking it out to you - you can see exactly what we have done. You can check this by clicking on View/Modify Outstanding Requests in the main menu of ILLiad.
  3. You can view your past interlibrary loan requests so if you are completing a bibliography or need to request a book again, you have quick and easy access to your history. Click View Request History on the main menu of ILLiad to use this feature.
  4. We are now able to deliver many of your photocopy requests to you electronically. This means that you will not have to wait for items to be shipped from the lending library to our library. Articles will be electronically transmitted to us and quickly passed on to you. You can pick up your electronic photocopy requests by clicking on View/Download Electronically Received Articles on the main menu of ILLiad.

Are there disadvantages to the electronic system?
You will now need to access your ILLiad/Interlibrary Loan record separately from your regular library patron record. We believe that the new abilities you will have to track and manage your requests will make logging in one more time worth it. To simplify logging in, you will use your St. Olaf network login and password meaning you will have one less username and password to remember.

Is security a problem if I use a public workstation?
Yes. Web browsers cache information and create a history file on the local workstation. This allows a subsequent user of the workstation to access the system under your name using the browser's Back button to recall a page from the cache, or by finding a page with your personal information in the browser's history file. If you are concerned about the security of your interlibrary loan requests, you can take the following steps.

  1. Access ILLiad only from your personal computer or an otherwise secure workstation.
  2. Exit from the Web browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.

For further computing security concerns, please contact IIT at (507) 646-3830.

Is my St. Olaf username and password secure when I log in to ILLiad?
Yes. SSL (Secure Socket Layer) is used to securely transfer your information to the ILLiad server.

Why don't I see all my older requests when I look at my request history?
From time to time we purge older records from ILLiad. Our policy is to keep requests online for several years in order to comply with record keeping requirements of the copyright law.

Why does my browser say that you're sending a cookie? What's in it?
The Active Server Pages technology that we use to provide live reporting for the web sends a Session ID to be stored on your machine. You can refuse this cookie and still be able to use the ILL web pages and ILLiad without any problems.

Who do I contact if I have problems with or questions about ILLiad?
Interlibrary Loan questions or system problems may be directed to the Interlibrary Loan office in Room 300 of Rolvaag Memorial Library. We may also be reached by phone at (507) 646-3223 or by e-mail at ill@stolaf.edu.

St. Olaf-Carleton Exchange

How may I obtain items from Carleton?

It's as easy as 1-2-3!

  1. Connect to The Bridge in your favorite internet browser (http://bridge.carleton.edu).
  2. Locate the material you wish to request.
  3. Click the Request button.

How long until the item arrives from Carleton?
During the regular school year we exchange two shipments with Carleton Library each weekday. This ensures that items usually arrive within one day, and sometimes even on the same day.
